Create one reliable order list

A group order becomes difficult when quantities arrive across multiple messages. Collect the decisions in one list with a row for each participant or size group. Record size, colour and any personal text, then total the quantities. Assign one organiser to send the approved version.

Ask participants to use the chart for the exact hoodie. A shared size label does not mean all garments have the same measurements. Give the group a clear internal deadline for corrections before the organiser requests the final quotation.

Decide what is shared and what varies

Different artwork or individualisation may change the work involved. Request a quotation for the actual mix instead of multiplying a catalogue price by the headcount. Ask whether the requested quantity and design method have a minimum requirement.

Choose a garment for the group’s routine

Choose between a single delivery point and a request for multiple destinations, subject to confirmation. Provide the destination information needed for a quotation and ask whether packing, labelling or split delivery can be supported. Avoid promising recipients a dispatch date before it is confirmed.

Review the total scope

Check garment quantities, size breakdown, artwork versions, individual names, production method, placement and delivery together. Ask what happens if the roster changes after approval, and confirm the applicable payment and custom-order terms.

Keep a copy of the final agreed list. On arrival, check the delivered quantities against that version and report any issue through the agreed contact route. A clear paper trail protects the organiser from trying to reconstruct decisions from scattered messages.
